Invoice Status
An invoice in Quinvy moves through several stages throughout its lifecycle. Understanding these statuses helps you track your receivables accurately.
Here is a breakdown of all possible invoice statuses:
1. Draft
Section titled “1. Draft”The invoice has been created but has not yet been finalized or sent to the client. You can still make full edits to the invoice in this state.
2. Published
Section titled “2. Published”The invoice has been finalized and issued. It is currently awaiting action from the client (previously known as “Outstanding”). At this point, the invoice balance is unpaid.
3. Pending Approval
Section titled “3. Pending Approval”The client has submitted a payment and uploaded a proof of transfer, but you have not yet verified it. You need to review the submission before the invoice can be marked as paid.
4. Partially Paid
Section titled “4. Partially Paid”The client has made a payment, but the amount is less than the total invoice amount. The invoice still has a remaining balance to be collected.
5. Paid
Section titled “5. Paid”The invoice has been paid in full. There is no remaining balance.
6. Overdue
Section titled “6. Overdue”The invoice has passed its designated due date without being fully paid. Quinvy will typically begin sending “After Due” reminders at this stage if configured.
7. Refunded
Section titled “7. Refunded”The payment for the invoice was returned to the client.
8. Void
Section titled “8. Void”The invoice has been cancelled. This is often used for invoices that were created in error. A voided invoice is not deleted, ensuring your financial records remain accurate.
9. Uncollectible
Section titled “9. Uncollectible”The invoice has failed to be collected despite multiple attempts and escalations. This status is used when you have given up on receiving payment for this specific invoice.
Note: Some statuses (like Overdue) are updated automatically by Quinvy’s background system, while others require manual action (like marking a payment submission as approved).
